Accounting Assistant

The Accounting Assistant processes Accounts Payable, Center Purchasing and other miscellaneous duties related to accounting.

ESSENTIAL FUNCTIONS:

Purchasing

  1. Process Purchase Requests
  2. Review vendors- Process invoices and payment
  3. Review expenses to budget

Accounts Payable 

  1. Maintain Accounts Payable Database.
  2. Code all Invoices with vendor and account numbers.
  3. Handle accounts payable inquiries.
  4. Input accounts payable invoices.
  5. Maintain Accounts Payable files.
  6. Issues checks and/or submit ACHs for payment to vendors
  7. Responsible for obtaining the proper authorization of all invoices for payment.

General Accounting

  1. Assist with Reconciliation of Bank Accounts
  2. Assist with the month end process which includes preparing, generating, and entering journal entries and import files into the accounting software.
  3. Participates in and supports department/Center activities and projects

Miscellaneous

  1. Adheres to Easterseals DuPage & the Fox Valley Region (ESDFV) Code of Ethics.  Complies with all Federal, State, and local laws and regulations.  Work is performed consistent with established ESDFV Mission, Values, and Philosophy.
  2. Participates in other activities that support department and Center projects and goals as requested.

 

QUALIFICATIONS:

  1. Two+ years experience in accounting or bookkeeping
  2. Computer proficiency.
  3. Working knowledge of general ledger software and systems.
  4. Strong oral and written communication, analytical, and spreadsheet skills required.
  5. Strong attention to detail and accuracy.
  6. Good organizational and time-management abilities.
  7. Effective written and verbal communication skills.
  8. Ability to work independently and as part of a team.
  9. Integrity and confidentiality when handling financial data.

 

REQUIREMENTS:

Unless exempted by the Americans with Disabilities Act, all persons hired for this position are required to perform the following essential functions: 

  1. Lift up to 25 lbs. on an as-needed basis
  2. Perform the basic life operational functions of talking, hearing, vision
  3. Perform repetitive motions (i.e., computer keying and/or dialing phone)
  4. Sitting for long periods of time

This position requires exposure to the following environmental factors:

  1. Daily contact with domestic and industrial cleaners.
  2. Exposure to variable noise levels.
  3. Occasional contact with noxious smells.
  4. Frequent exposure to communicable illnesses.
